LC State invites applications for the position of Events and Conferences Coordinator.

Salary and rank based on experience and qualifications: $48,000 - $50,000

Degree Required:

  • Bachelor's degree from a regionally accredited college or university

Required Qualifications:

  • Excellent presentation, communication, and customer service skills essential;
  • 3-5 years experience in event or conference management and marketing;
  • Ability to work independently and cooperatively on multiple projects in a fast-paced environment;
  • Experience with Microsoft Office (Word, Excel and PowerPoint)
  • Experience with software technologies to manage activities/operations;
  • Experience and willingness to work as a team leader and supervisor;
  • Strong ability to multi-task and balance a diverse workload;
  • Ability to organize resources, establish priorities, and meet deadlines;
  • Ability to manage financial transactions, contractual documents, and monitor budgets;
  • Able to work evenings and weekends as needed for events;
  • Holds valid driver's license and be willing to travel in-state and out-of-state; and
  • Ability to move and/or lift up to 50 pounds

Preferred Qualifications:

  • Master's Degree from a regionally accredited college or university in a related field;
  • Significant experience working in event services field;
  • Strong understanding of higher education, operations, support services, marketing, promotions, event planning, and organizational processes;
  • Strong event planning and customer service skills;
  • Demonstrated knowledge of financial processes, budgets, and CRM systems;
  • Strong understanding of marketing and event/program promotion;
  • Demonstrated ability to train, supervise, and evaluate staff;
  • Demonstrated ability to develop, implement, and enforce policies and procedures; and
  • Demonstrated knowledge of risk management practices and implementation.

Responsibilities:

  • Manage Events & Conferences operations and facilities;
  • Supervise Events & Conferences Program Assistant and set-up crew;
  • Develop and execute a business/marketing plan to increase outside client utilization of conference center facilities;
  • Assess and schedule Williams Conference Center (WCC) maintenance and repairs;
  • Oversee budgets and prepare financial statements for supervisor review;
  • Provide quality customer service experiences for internal and external clients using the college's facilities for events and conferences;
  • Oversee the reservation system (25Live) and coordinate the use of college facilities/resources for meetings and special events;
  • Audit campus spaces to update conference reservation system and propose upgrades or other modifications;
  • Conduct the annual administrative review of reservable spaces and proposed fee changes;
  • Guide the development of documentation and processes needed for facility use, compliance (regulatory/contractual/risk management), billing, collections, and allocations to campus services providers;
  • Promote/market (in-person, ad materials, social media, conferences) LC State Events and Conferences services to on- and off-campus entities;
  • Make recommendations on processes/efficiencies and assist with policy development;
  • Mentor/coach employees to impart the highest level of service standards and procedures;
  • Support institutional recruitment and retention activities/initiatives; and
  • Complete other duties as assigned by supervisor.
